Question Groups EE4 – How to get "global" info for multiple registrations

Hi,

I am using EE4 and for my events, the person purchasing a single or multiple registrations may NOT be an actual attendee. Many times someone within the company has been tasked with purchasing event registrations, yet they are not going to be attending.

Is there a way to collect “global” information first? What I mean by that is to collect info like: billing name, company, address, billing phone, billing email BEFORE collecting attendee information?

I tried creating a question group but it would have to be assigned to the primary registrant, so that wouldn’t work.

Any help is greatly appreciated!

Hi Lisa,

You’re on the right track: You can create a question group, add those questions to it, then assign to the Primary registrant. That will actually work because the questions will be in a separate group from the questions for the Primary registrant. You can order the groups so the global information appears first, and add some text to the group’s “Description” field to help clarify the information asked there is intended to capture information about the individual purchasing event registrations that will not be attending.

Hi Josh,
Thanks, so I’ve tried this. But what I am going to run into I want the billing contact to receive the order/payment emails as well as be created as a wp user so they can then go to the page I created for viewing event registrations.

In this scenario, it seems that my attendee#1 would be receiving my order/payment emails as well as would be the email address that would get created as the wordpress user for viewing the event registrations page.

Since posting this, I’ve been scouring the forum and it seems like this is an issue for lots of people, like those with sports camps where the parent is registering children, or the very same case as me where the payor is not attending.

How can I get order emails to the “payor” as well as allow the “payor” to be the one who accesses event registration information?

Hi Lisa,

You’re correct, this is an issue for anyone that’s wanting to capture information and send email to a non-registrant, because Event Espresso wasn’t designed to do this. Some of these issues can be worked around.

While there isn’t a way to automatically set up a user account, (the user account will always be attached to the Primary Attendee) you can send the emails or even CC the email notifications by adding a shortcode to the To: field or the CC: field in the email templates. For example if you’re capturing the purchaser’s email field a question that’s name is “Purchaser Email”, you’d place this into the To: field or the CC field:

[PRIMARY_REGISTRANT_ANSWER_*Purchaser Email]

Hello,

I understand that I can put my “Purchaser Email” address in the TO: field. Will this make it so only the purchaser receives this email notification, or is the Primary registrant still going to get the email as well? Ultimately, I’d only like the purchaser to receive my Payment Received email.

In that case, you’ll go to edit the “Primary Registrant” context of the Payment Received email, the remove the [PRIMARY_REGISTRANT_EMAIL] shortcode from the To: field, and replace with
[PRIMARY_REGISTRANT_ANSWER_*Purchaser Email]. That will make it so the purchaser gets the Payment Received email.
