Hi, Firstly apologies for lengthy post. I am looking at purchasing Event Espresso (EE4) and potentially add-ons but before I do I’d like to confirm whether the functionality gives what I need for my various use cases. We run a small swimming school in the UK for children in a few different venues. Each venue has a number of different classes for differing age groups / abilities. We currently take payment via BACS / cheque / and are considering online also. Each class tends to run on a weekly basis for a fixed number of weeks (coincides with school terms). This class will then typically start the following term with previous term pupils being given preference to register. So questions are: 1) Can registrations be setup to take both adult (payer) and child (attendee) registration information? Thanks in advance, |
Hi Martin, I think its important to firstly make sure it’s clear that EE3 and EE4 are actually 2 separate products with different feature sets currently. None of the EE3 Add-ons are compatible with EE4 (the exception being the Calendar) some of the features/payment gateways mentioned are a part of EE3 and not EE4. With that said I will answer your questions twice, this reply is for EE3. To help make this easier to read I’ll separate EE4 into another reply.
Not easily, there is no way to distinuish this within EE3, you can setup a single registration and then use custom questions within that registration to add children, but that would not keep track of the attendee numbers in they way you would require (1 registrations would have 4 children, but would only show as a single registration)
EE3 has a Beta Add-on that allows you to move attendees from one event to another however moving the attendee would also move their payment data, meaning if they pay for when set of classess and you move them to another, they would still show as paid, you can edit this once moved but I think it would be best to have them re-register onto the other event. The Recurring event basically creates multiple events from a ‘template’ event, the template is used and a date formula applied to create multiple of the same event on different dates.
You can export data to CSV although it will depend on the exact data you require. All of the attendee information is exported which you would then need to manually filter. You mention Email Campaign Systems, if you are using MailChimp EE3 integrates with MC and will send the Fname, LName and email on sign up when using the MailChimp Add-on.
Yes. You can customise the logo easily, the custom numbering scheme would require a custom function.
No currently, this would require custom development.
Yes you can manually edit the Payments within a registration and resend the confirmation email, which will contain a link to download the invoice.
It is possible to pre-allocate attendee using a beta Add-on however doing so this provide the functionality you are intending. EE3 has a pre-approval feature, which allows attendees to register onto the event, but will only be allowed to pay (and therefore apply to the event limits) after the admin has approved the registration.
EE3 currently does not support scheduled payment reminders, you can send the payment reminder manually on a per-registration basis.
I believe you will need to use the payment gateway provided in order to update Quickbooks, although I will check with the developers on this. |

EE4
This is much easier with EE4, you can create a Parent ticket and a child ticket. If you only need the Parents full details you can do so and each additional attendee can then have their own set of questions (for example Childs First and Last name)
Moving attendee is currently not possible with EE4, they would need to re-register onto the other event. The Recurring Events Add-on is only available for EE3.
You can once again export all the data which would need to be manually filtered, however some payment information is not exported, so this depends on the specific data you need.
Yes the invoices can be customised, the numbering scheme would again need a custom function. (The templating system used for EE4 is more advanced than EE3)
Unfortunately not currently.
‘Transactions’ within EE4 can be update manually, transactions are associated with registrations, both can be independently updated.
With EE4 events are Custom Post Types, meaning you can use stardard ‘post’ features one your events, such as Password Protecting the event. The attendees would still need to register onto the event (so it is not possible to pre-allocate attendees) but they could only do so with the password for the event.
Automatic payment reminders are not currently included within EE4 although they are on our roadmap.
Currently we do not have a Quickbooks integration for EE4, this is only available within EE3. |

I would recommend signing up with both EE3 Test Drive and EE4 Test Drive which will give you access to the admin for both versions, allowing you to setup test events and see for yourself if EE will suit your needs. If you have any further questions to let us know. |
