Hi!

I would like to pre-approve refistrations, but I also need to set a limit to the quantity of tickets available. My question is: will the will the ticket show-up as sold out when the maximum quantity is reached through registration OR when the maximum quantity is reached through payments?

Ex: I limit tickets to 100. 150 people register to purchase those tickets. I approve 120 people (reject 30). When will the tickets show as sold-out? When the 150 people register, or after the first 100 approved purchasers complete their payment?

Hello,

A registrant/attendee is counted against any limits set when they receive a status of registration approved.

If an event is free, then this happens after they share their contact information.

If an event is paid, then this happens after they share their contact information AND pay for their registrations

With your example, it would be after you allow them to pay as that would be considered a paid event.

That is, their information will be collected and they’ll receive a status of registration not approved. The registrants/attendees that are then updated to pending payment and notified will have a chance to pay any balance due for their registration.

If they do pay, then they will be updated to a status of registration approved.

As you have a limit of 100, I would set the limit through the event editor to be a little higher such as 115 or 125 as you may find that some people do not follow through and pay because they may have changed their mind about the event and you’ll also reject certain registrants/attendees that do not meet your criteria for your event.

Thank you for those clarifications! Just one last detail… If I understand correctly, the following scenario applies:

– I fix the ticket quantity to a maximum of 100
– Say I get 150 registrations and approve all of them – the event doesn’t show up as sold out yet since no one has paid
– After ticket #100 is paid by one of the 150 approved applicants, the event is sold out.

Question: what happens for approved applicant #101 when he goes to pay? Does he get an error message, or does he get notified that the event is sold out? I would love to have a screen capture of what that might look like…

It actually will show up as sold because an approved registration counts toward the limit.
