Overbooking & Lost Data

Hello –

I opened a ticket on January 29 (https://eventespresso.com/topic/events-not-limiting-attendees/) about attendees successfully registering for an event when the event was already full. I can see how this would happen if, as you mentioned, attendee A had the page open in a browser but attendee B registered first. However, I had an overbooking today where the attendees registered almost 6 hours apart! I have a very hard time believing it’s because of one person’s page being open but not completed. Could there possibly be another explanation for this? It’s a VERY frustrating problem for both attendees and myself.

Also – Is it at all possible that event data was lost during any of the recent upgrades? I had a large number of recurring events scheduled that are not longer there.

Hi Jennifer,

I am sorry that you are experiencing this issue still. We haven’t got any hard data on what is causing this, did you have the error log running or do you have any other information which may help?

It could be that they left the browser window open, i often do that for days at a time, before getting back round to whatever it was, but I agree that it is a slim possibility.

Is it at all possible that event data was lost during any of the recent upgrades? I had a large number of recurring events scheduled that are not longer there.

The data will be there, we introduced a system to only load X number of events at a time, to help deal with performance issues for those people with large numbers of sites/attendees.

If you look above the ist of events there is a Retrieve label with a dropdown box and button next to it. Set the dropdown to all (or a number) and hit the retrieve button, that will load all or X number of events, which can then be gone through.

Hi, Dean –

Thanks for your reply. When you refer to the error log, do you mean in WordPress, or EE? The WP one was not enabled, and if EE has one, I am unaware of it.

With regards to the lost data – It’s not a matter of not seeing all events; I know that I need to retrieve all to see everything. It’s just that they’re not there any longer. Would it have anything to do with them being recurring events?

Speaking of only loading a certain number events at one time – Are there any developments on the horizon that will let each organization set how many events it wants returned by default? I understand that this feature is useful for those who have a large number, but it’s really a pain that every time we want to do a live search we have to take the extra step of retrieving all the events first. Please, PLEASE consider it!

Hi Jennifer,

The EE logging can be turned on in the General Settings (at the bottom) and the file is in the uploads/espresso/logs folder. Please remember to turn it off after a while as otherwise the log file can grow very big.

Recurring events should be irrelevant, the events should be in the database.

Can you provide a short list of event titles/dates that are missing and site login details please?

If so, please send them via https://eventespresso.com/send-login-details/

NOTE: login details need to be Admin level.

I will put forward your request regarding the manual setting of the retrieval option.

Hi, Dean –

I turned on logging, so I’ll see if it turns up anything.

All the events that were missing were re-entered several days ago, as we needed to make sure they were on our calendar. Does providing you with a list of what was originally lost matter now that they have been added again? If so, I am happy to send it.

While I still think manually setting the retrieval option should be an easy option, I was able to edit the code to automatically retrieve all of our events.

Hi Jennifer,

If the items have been re-entered then no, probably not. Keep an eye on it and logging on, and see if it occurs again. (remember to turn logging off after a while or remove the log file as they can grow pretty big).

I have added a feature request ticket for the option to change the retrieval option, so we will look into 🙂
