How to update contact info when a purchaser has purchased for someone else

I run an event where a Coach is registering his/her entire team.

Previously, I set up EE4 to force the coach to enter the individual names and contact inf of each participant. I have since learned that this negatively affects sign ups because coaches have to have an enormous amount of info available (up to 60 members and all their contact info) and it could take a LONG time just to enter the info and there could be memory limits, time outs, etc.

This year we have set it up that the coach only need enter the total number of participants as we could gather the other detail later. But we’ve run into a snag that I had forgotten about.

How can we add, after registration, the individual contact details for each participant? At present if you go to edit the contact of a sub-ticket in a transaction EE4 overwrites the contact info of the purchaser(coach) and applies it to ALL tickets rather than modifying or adding contact info for each individual participant.

How can I achieve my goal? I can even do a CSV upload if need be.

Nevermind – I JUST noticed a button “Create Contact” at the bottom of the contact details window, with the fly instruction that the registration shares the contact details with the original registrant and that a new record can be created to separate the two 🙂 Thanks!

One more thing, since we’ll be collecting the additional registrant info in a spreadsheet, can we add the additional contacts via CSV and still keep the registration detail connected or is the only safe way to manually retype?

I’m not entirely sure I understand your question, but…

If you use the importer to add registrations with contacts that already exist, they will be linked to that contact (Exact matches on first name, last name and email). If you import registrations that don’t have a contact, it will be created.

I’m not sure I follow what you mean by ‘keep the registration detail connected’, can you explain more?

Sorry. I could have phrased that better.

Right now the coach enters the participant. how can I bulk add the participants and ensure they are linked to their coaches registration.

Hypothetical Example: John Coaches registration number is 27572.

We use importer to import Frank Participant, Jane Participant, and Norman Participant

Assuming the ‘registration number’ you mention here is the EE registration ID, you can’t.

Each registration is unique, when you use the attendee importer to import attendees into an event, it is creating registrations and each of those are unique.

So… assuming your coach company registers 10 registrations in a single booking, thats 10 registrations in a single group, they are all unique registrations but linked together in one group.

The attendee importer add-on comes in and imports 8 ‘attendees’, which it will create 8 single registrations for. You can’t then link/replace/move/etc those registrations into a group so you can’t link them with the coach booking.

You’ll need to edit the registrations within the group, break them out into their own contacts using the method you mentioned above and edit that new contact. Which basically links the current registration in a group with a new contact.
