Exported Attendee File Headers are Not Correct

The headers in this XLS file are all messed up and there are duplicates. What is going on?
For example: One of the City Headers is the phone#, Last Name is Address, Home Phone is email address, etc.

Here is a sample of what it looks like. The headers are duplicated in some areas and they don’t match with the Data. I can’t see in the attendee’s page where this would happen.

It looks like something is not converting/formatting from the generated file to the application that is being used to open it. Do you have an alternate application to open this?

The file that you linked to looked like this when I opened it up in Numbers:

I did not include any of the data because they probably would not appreciate that.

Do you have a recent backup of the database that you can restore to?

If this started happening out of nowhere, then you might try reverting to the previous backup of the database.

I honestly don’t know as I’ve only started downloading these as of recent to try to figure out how to create a mail merge for Name Tags.

I searched my Time Machine backup and had one from July 4 and it was the same way.

Have you tried opening one of these up in another spreadsheet app?

Which version number of Event Espresso is installed?

still getting the wrong headers above the wrong data with OpenOffice. I’ll try my wife’s PC and Excel.

I opened the files on my wife’s Windows 7 PC in Excel and they are the same.
Could it be something to do with my “Questions”. The headers contain Questions. I wonder if they are throwing off the order or something. The Data just doesn’t match the Header arrangement.

The headers that are the problem is the fact that they are duplicated thus pushing everything over.

The ones that are duplicated are:
First Name, Last Name, Address, Address 2, City, State, Zip, Home Phone, Email.

I am pretty sure these are the default questions that are locked.

Do you have the Roles and Permissions add-on active?

Yes, the Members Addon and the Permissions plugins are activated.

Try deactivating the roles and permissions add-on, then re-save the questions, question groups and update the event where the headers are being duplicated in the exported report.

OK, I will try that. But FYI this is showing up as headers for all the events. When I export event data it’s listing all of the events in the spreadsheet and they all have the same headers.

The issue is that you have duplicate questions in your questions group(s). To make things more confusing, it looks like you have added questions that are duplicates of some of the existing system questions. I couldn’t tell you, for example, which “Zip” question is used in the Personal Information group in this screenshot, since you’ve added your own in addition to the default Zip question.

All events require all questions in the Personal Information group, so all of your events will have the questions in the top box in the screenshot above. The event in question also has an additional question group with many of the same questions that are asked in the Personal Information group:

Since you are using both question groups in that event (Personal Information + Convention) in that one event, there are 3 questions that you are asking three times — once in the personal information question group and twice in your Convention question group.

They are not displaying three times in the actual registration form because at least two sets of those City/State/Zip questions are coming from the default system questions. I’m not entirely sure why the reports are displaying data in the wrong columns, but I suspect it has to do with the duplicate questions you are asking and that they all have the same name.

There is no way to “fix” the data that’s already been submitted for the attendees you have now. However, you should be able to resolve the issue for any new attendees by removing the multiple instances of the same information.

First off you’ll need to delete the custom questions you created for questions that already exist as default system questions (indicated by a lock on the Questions screen). Screenshot of the default system questions below:

Once you’ve deleted the duplicate questions, you should be in better shape, but you may want (or need) to adjust your Personal Information question group if you want the address information to be requested of all attendees in all events.

Then you will need to go into your Convention question group and make sure that none of the questions you are asking there are the same questions you are asking in the Personal information group.

Even after you do all that, the exports might be so bungled by having the wrong information to start with that future exports for that event might still be borked, however, it should work without too much error. The major issue I foresee is that you’ll likely lose data from the export for information that was being stored in the wrong column, so you should probably do an export before you try to do this so you have a copy of the information (albeit with the bad header row). Then again, everything might magically work after going through the above steps, but I’d prepare for the worst (that way you can be pleasantly surprised if things happen to work out).

Wow Chris, thanks so much for the awesome information. I’ll look this over. I looked at those questions and groups quite a bit to see if there were any duplicates. I just missed it. Wow, I feel stupid.

No worries. It was definitely an odd side effect that could be easily overlooked if you didn’t know what to look for in terms of probable cause.

In one area it lists duplicates but I did not check the second ones.
In the Convention group I created the second City, State and Zip for the “Business Address” info. Will I have to name them something different? Business Address, Business State, Business Zip?

I think it would be best to create new questions for these, and then assign them to this specific group.

What do you mean by won’t be different?

The idea is to remove all duplicates. Then when you create the new questions (not make more duplicates) be sure to name them accordingly so the same questions do not get assigned twice (to two different groups).

Well, the reason I asked if they would be different is Chris said any of the attendees that have already signed up for an event will still have the screwed up headers. I wondered if I get them fixed won’t it correct when I do a new export?

OK, finally! I renamed the “Business Address” that originally were the same name except lower in the list. I thought that would work. Big NO.

I removed the personal info questions from the Convention group. I went and saved the events again. Then exported again. All is fine now.

I want to thank both Chris and Josh for the great support you have given me. This is a long thread. I know it was probably a pain trying to figure this one out. Of course it’s a dumb user error.

If I could send a batch of chocolate chip cookies over the internet I would.
