Event Datetimes and Tickets Question

I have two questions.
1. If we offer class 1, class 2, class 1 & 2 – as our datetimes and create tickets for class 1, class 2 & class 1 & 2 – how do we manage limits?
for example, we can only have 8 students at a time. So does Limits need to be 8 for all three datetimes?
2. If we’ve sold 3 tickets to class 1 & 2 (the series) and one ticket for just class 2, shouldn’t the quantity “Sold” for “the series” show 3 and class 2 as 4? See screenshot: http://toolbox4healthcare.com/draping-class.gif

Hi Shelly,

Your screenshot doesn’t show the whole story, because you make connections from the ticket to the datetimes when you click the gear icons. So the first thing you can do is make sure that each ticket set up there is set to allow access to the correct datetime and no more.

Along with that, it’s not necessary to set up a Draping Series datetime because you can set Draping Series – the ticket to allow access to both Draping 1 and Draping 2 datetimes.

I guess I’m still confused about how the quantity works. Do I assign quantity at the datetime – AND at the ticket level?

For example, we can only have 8 students in Draping 1 and only 8 in Draping 2.
I set the limit at 8 on DateTime… then below in tickets we offer tickets to both these classes individually AND we offer tickets for both classes. What do I put in the Quantity for the Tickets to represent this??

Does this make sense? If someone buys the set, we need a ticket to be reduced for both classes.

Hi,

Yes, in this instance I would set both the date time and the ticket capacity.

Datetimes would be 8 each and same for the ticket capacity.

The dual ticket doesn’t need anything special except it needs to be attached to both datetimes, e.g.:

Datetimes = 1st and 3rd, both have a limit/qty of 8

Draping 1 is set to the “1st” datetime and has a limit of 8
Draping 2 is set to the “3rd” datetime and has a limit of 8
Draping Both is set to both the “1st” and the “3rd” datetimes and has a limit of 8.

Great. I finally get it now! unfortunately we’ve already got students signed up for the Event Datetimes we added in error. And we can’t delete them, right? We’ll just have to wait until next term to correct our clumsy addition.?

Hi Shelly,

You can delete the datetimes by:
1) Make sure each of the tickets are assigned to at least one of the datetimes you’ll be keeping
2) Then you remove the associated tickets from the datetimes you want to delete. You can remove the associated tickets by clicking on the gear icon in the datetime, then uncheck the boxes next to the tickets listed there.
3) Update the event
4) After you update the event, the datetimes that have no associated tickets will have a trash option that you can use to trash the datetime.
