"Email Attendees" Function Missed Some Attendees

I used the “Email Attendees” function from the Actions column which has worked nicely, but for some reason this time the result showed 169 out of 186 emails successfully sent. I wondered if maybe some people hadn’t used legitimate email addresses, i.e., typos, but upon checking myself, all the email addresses look fine. Some are international email addresses (.be, .nl, .de) but I think those would be recognized as email addresses.

Any ideas as to why this email function is acting a little quirky?

Hi,

Were all the attendees completed (i.e. paid and valid attendees?)

Were their any duplicate email addresses?

There were some duplicate email addresses. Some people registered multiple times for some reason.

But I tested this myself using the same name but used three of my different email addresses. I received the Reminder Email to only one of my emails addresses — the other two didn’t get it.

Just to confirm did you create 3 separate registrations?

Register, enter single attendee details, click through to confirm payment.

Repeat twice more.

Or was this a registration were you added an additional 2 attendees and provided their details?

Yes. I registered three different times AND received three different confirmation emails.

The email that did NOT go out to all attendees was one that I created as a “Reminder Email” that I created using a specific email template (Pre-existing Email). I went to the Event, click on the “Email Attendees” button, then selected the Pre-existing Email (Reminder). Out of 186 attendees only 169 were sent out.

Since I had registered with three different email addresses myself, as a test, and I did receive a Reminder Email at one of my email addresses, I knew something was not working right.

Well I just sent out another email From Event Espress to the Attendees of a Teleclass to let them know a class recording is available. There were 266 attendees and EE sent out 247 successfully.

Again I received this email at only one of my email addresses and not the other two. I wonder if, since I used the same first & last name the program is seeing it as a duplicate and not sending it . . . BUT that would mean the program is choosing which email address to use! That can’t be. Plus there are 19 email addresses who did not receive this email. There are no duplicates. I checked.

Thank for you the additional info.

I believe I have found the reason for this and have created a ticket to investigate.

What’s happening is the attendees are being grouped by ‘Lname, Fname’ so if multiple attendees have the same details, it will group them together and use the first email address within the table that if finds for that attendee.

I think the reasoning behind this is to prevent duplicate emails being sent to the same attendee as each attendee only needs a single newsletter.

Currently it is not possible to change this behaviour without modifying some of the core code so I have requested a filter be included that allows you to change this.

That’s great that you discovered this and it does answer why “I” only received one email. Most people don’t register for classes with a different email address, and I only did that to test the email templates.

But this still doesn’t answer why the other 17 Attendees didn’t receive the most recent email (re: my note above “Out of 186 attendees only 169 were sent out” by EE’s “Email Attendees” function. There may be some with the same last name, but the first name would be different, i.e., spouses.

Do you only allow single registrations or require the personal info group for all additional attendees?

As in can your registrants select multiple tickets without needing to input attendee info for each ticket?

We are not allowing group registrations.
In the “Additional Attendee Registration info” we’ve asked for whatever we’ve included in the “Questions” for “Personal Information Only.”

I just sent out another reminder email, for a different teleclass but the same Attendee List (so the number of attendees is the same). Again, 260 emails out of 279 were sent out successfully, so there are the (same?) 19. Two of those missing should’ve been sent to my alternate email addresses.

I wonder if the program is focusing on the last name field and thinking it’s a duplicate? There are some people with the same last name.

Hi, is it possible that an email address was used multiple times across different registrants?

Have you experienced this issue with any other events?

No, not in this case. I always go in and check the attendees and delete any duplicate registrations. When I see the first/last name and email is the same, I know it’s a duplicate.

I actually checked again, just now, to confirm there are no email addresses used more than once. Good thought though.

We have not used Event Espresso since May 2014. We just started offering classes again. We did not experience this problem at all during 2013 and 2014.

Hi Deborah,

Are you comfortable with PHP at all?

In the next version of Event Espresso we have included a filter that will allow you to change the query used to pull in all of the attendees for the event.

So in this case there would be two ways to handle this:

You could either group by email address, so that regardless of how many times it was used with your attendees each email would only receive a single email reminder.

Or you could actually not Group at all and send an email to every attendee.

I can provide the code to do either of those if you prefer? That way even when we update EE you’ll continue with this feature working as you expected.
