Customized Registration Confirmations

Greetings!

I’m looking for assistance addressing concerns with the current set-up of our registration confirmations. I have 4 issues:

1. I am the event author/admin. I am receiving 5 confirmation emails every time there is a new registration. How can I change these settings? We only need one message – registration approved. I want to receive the exact same confirmation that the registrant receives.

2. We allow people to register up to 10 people at a time. If someone registers multiple individuals, our registration confirmation is not capturing their individual address and phone number for each person (of course only applicable if the registrant chose to enter different contact information for each person).
3. I created a required custom field “Organization” on our registration form. Our confirmations are not capturing this field even though I have set it up (per your suggestion) of: Company:[PRIMARY_REGISTRANT_ANSWER_*Organization]
4. Is there a way to have each confirmation email SUBJECT reflect the name of the event they registered for? That would help separate/identify them easier in our email inbox.

Hi Dalia,

I can follow up with each of your questions below:

You can change those settings in Event Espresso > Messages > Settings where you’ll deactivate the messages you don’t want.

We only need one message – registration approved. I want to receive the exact same confirmation that the registrant receives.

You can add your email address to the cc field in the Registrant’s Registration Approved template editor.

2. We allow people to register up to 10 people at a time. If someone registers multiple individuals, our registration confirmation is not capturing their individual address and phone number for each person (of course only applicable if the registrant chose to enter different contact information for each person).

This information can be included within the email, but first you’ll need to add some shortcodes and identifying text to the [ATTENDEE_LIST] section of the message template. The shortcodes you can place within that section are shown when you click on the menu icon . Once you have that section filled out with the shortcodes, you’ll add the [ATTENDEE_LIST] shortcode to the Main Content section of the template.

3. I created a required custom field “Organization” on our registration form. Our confirmations are not capturing this field even though I have set it up (per your suggestion) of: Company:[PRIMARY_REGISTRANT_ANSWER_*Organization]

May I ask in which section of the template was that shortcode added?

No there isn’t a way to do that. The available shortcodes are listed next to the subject field when you click on the menu icon.

Thanks so much for your response! I was able to fix all thanks to your help. I, however, have a new issue. I’m trying to embed the billing address, city and state into the confirmation email, but it’s not showing up when I do a test. I have it in the [EVENT-LIST]. The billing name, email, phone and organization are showing, but not the billing address, city, state and zip (which I just added).

Also, what is the short code for the event cost and where should I place this code in the confirmation set-up?

Hi Lori,

I don’t believe there are shortcodes for Billing address fields for that section, but there are these shortcodes that can be used:

[PRIMARY_REGISTRANT_ADDRESS]
[PRIMARY_REGISTRANT_CITY]
[PRIMARY_REGISTRANT_ADDRESS_STATE]
[PRIMARY_REGISTRANT_ZIP_PC]

Also, what is the short code for the event cost and where should I place this code in the confirmation set-up?

[TICKET_PRICE] which can be placed into [TICKET_LIST]

Thank you, Josh. The billing contact information were custom questions. Does that make a difference?

It could. May I ask what are the shortcodes you are trying to use, and where? A link to the event page will also help for the purpose of comparing the shortcode to the questions.

I was able to figure it out! I think I am all set. By any chance, has EE rolled out the automatic event reminders yet? I’m looking forward to this feature! Thanks again for all of your help, Josh!

The Automatic Event Reminders add-on isn’t finished yet. There will be another round of beta testing for it after some more work is done.
