Considering using EE – can it support our requirements for an online booking sys

Hi,

We’re considering using an EE as an online booking system. At the moment we are using Cvent (I know, its something implemented by one of my predecessors, before we had a marketing team).

Most event booking systems that I’ve come across don’t allow us to carry out a few tasks. Can EE help with providing this level of functionality? Here’s a list of the tasks that we need to provide:

1: Allow a registrar to book multiple people on to a course/event (no location or date data)
2: Allow a registrar to also book multiple people on to multiple courses/events (no location or date data)
3: The system must NOT take payment – instead simply reserve places at the course/event and email the registrar to notify them that the places have been reserved. Then create an attendee list which can be exported by our finance team and processed via Sage200 to process payment.
4: Once the payments have been taken, our finance team will then identify suitable potential venues (based upon geographical location of attendees) and dates. The organising team will then email the attendees with the list of options for venues/dates. Attendees will review the dates and locations available and the book onto the location/date that suits them best.

The question for me is will EE allow us to provide this level of functionality within our booking process or will we have to change our process in order to fit?

Hi Peter,

The only issue with the above is ‘no location or date data’.

You basically want open events in which the registrants get to select the venue and date that the event eventually takes place, is that right?

Within EE all events must provide an event start and end within the ‘datetime’ for that event. The datetime details are included within the registration messages by default and these will be sent to the user when registering, these can easily be edited but it’s something to note.

The users will need to select a payment method if a price is assigned to the ticket, this can be an invoice payment method or you can create a custom ‘pay at event’ payment method etc. This is to finalize the registration, save the details and trigger the emails.

EE will export a CSV with all of the details from the registration, this will likely need the format altering to be compatible with sage200 is you are looking to import it.
