Conference Registration Multi-Day, Multi-Session

Hello,

We are running EE4 on WordPress 4.2.2 running Divi theme, and working to set up registration for a 2-day conference with multiple sessions.

The conference has 4 separate tracks with 3 sessions per day for a total of 24 sessions. It will be set up so that users are able to register either for a full conference program or to sign up for one or more individual sessions. There will also be an awards reception that will be an add-on event/ticket option for all attendees.

Users who purchase a full conference program will not need to pay for individual sessions. Users who choose individual sessions will need to pay for each session.

Users who choose any of the four full conference program tracks will be able to mix-and-match sessions, meaning that they should have access to choose between any session available for each session time frame.

An example of a full conference program track event is in progress. There are date-times for each session and an associated ticket for each date-time that allows access to that date-time, based on the advice shown in the forum thread linked to at the bottom of this post*.

The work in progress for this event can be seen here:
https://refitshow.com/events/full-conference-program-design-styling-track/

However, I am running into some issues and hoping you can provide information on how to resolve them.

1. If I continue to set the form up using this method, each event registration form will present to users as 27 ticket items (including 1 early registration full conference program ticket, 1 full conference program ticket, 24 individual session tickets, and 1 reception awards ticket) in one very long and potentially confusing list.

I would like to have it set up so that users select the full conference program option, and then select their sessions from clearly separated session options for each time frame (morning, midday, afternoon).

Ideally, users would see there are four options for the morning session and they must select one, four options for the midday session, and they must select one, and four options for the afternoon session, and they must select one.

2. We are getting the error message shown below and are unable to add any additional inputs, which means that we can’t add enough tickets and date-times to create the necessary number of sessions and ticket options.

“The number of inputs on this page has been exceeded. You cannot add anymore items (i.e. tickets, datetimes, custom fields) on this page because of your servers PHP “max_input_vars” setting.”

I did see that the max_input_vars issue has come up for other users, but while this support forum advice indicates the max should be raised to 2500 or so, it does not provide any information on how to do so:
https://eventespresso.com/topic/ee4-4-3-max_input_var-issue/

We are getting this error message, which may explain why this is happening: Event Espresso recommends PHP version 5.4.33 or greater for optimal performance. You are currently running version 5.4.16.
In order to update your version of PHP, you will need to contact your current hosting provider.
For information on stable PHP versions, please go to http://php.net/downloads.php.

Perhaps I am going about this the wrong way, so please help: Is there a better way to set this form up, both from the standpoint of making the form more user-friendly and from a functional standpoint where exceeding input limitations is not an issue?

Hi all,
I need to create sessions in an event. I tried to create event for each session, but the problem is, registrant don’t need to pay for the sessions, they just need to pay one time for the main event and they can choose which sessions they want to follow. If I try to create event for each session, I have to input ticket price for those free sessions. ( It looks weird to input 0 in the price )
The other problem is how to make the registrant know that they have to pay for the main event before register for other sessions?
Any help would be appreciated.
Thanks,
Joanne Tjia

Hi there Joanne,
You can set this up in a few steps.
First, ensure that the main event pricing is setup via the ticket / pricing option in the event editor.
Then click on the gear icon (advanced options) and then place a checkmark in the required option.
Now you can create the additional sessions and set each pricing to zero. Be sure to add the quantity available for each session. For example, if a session is limited to 7 attendees/registrants, then add 7 to that ticket / pricing option.
Be sure to save changes after editing the event.
The last step would be to apply this tutorial which will change free tickets (pricing of zero) to display free instead of 0.00:

Hi Nicole, in this case I think the upcoming multiple events registration add-on for Event Espresso 4 could help. We are working through a couple issues that we found in last-minute testing and this add-on should be available soon and automatically appear on your account as you have an Event Espresso 4 Everything support license.

Does each session have an attendee/registrant limit?

Hi Lorenzo,

We do not need to limit the number of attendees per session.

Do you have an estimated time frame for when the plugin will be available?

Thank you

Hi,

The MER addon for EE4 will be released (to Beta) soon, but we cannot give a precise time scale as it is unknown how long it will take for us to fix the bugs we have found. We are however, eager to get the plugin launched but we would rather have all known bugs squashed before release.

Regarding the max_input_vars, it depends upon the host server configuration.

Most of the time you can add the following to your php.ini, but you may wish to speak to your host first and ask their advice/assistance with increasing this value:

max_input_vars = 30000
max_input_nesting_level = 30000
suhosin.request.max_vars = 30000
suhosin.post.max_vars = 30000
