Class Registration Information

Hi, We are using EE for classes with different instructors. When someone registers for a class, I would like the admin and the class instructor to be notified. I would also like the instructors to be allowed to see who has registered for their class only. How can this be done without making each instructor an admin to the site?

Hi there,

To do this you will need to create an account on your site for each instructor and assign them as the ‘Event Author’ for each of ‘their’ events.

You don’t need to give the users full admin access when doing this, you can use a custom role that only has access to Event Espresso and then within that only has access to ‘their’ events and registrations.

I have previously created a plugin that adds 2 example roles to your site, one is an ‘Events Administrator’ and the other is an ‘Event Organizer’.

Event Admins have full access to Event Espresso but not any other section of WordPress.

Event Organizers has access only to the events they are set as the Event Author.

Install and activate it once, then you can de-activate it again as it adds the roles to the database.

Then create a new test user on the site and set the role as an Event Organizer, set that user as the event author of a test event on your site and log into that account, then confirm the user only has access to that event and its relevant details.

For the messages to work how you need you’ll need to edit the templates and CC the admin/event admin into the templates, but lets get your user accounts working how you need first.

where do I add the person? In event EE or WordPress? I can add a person to EE but the only people types I have are Event Admin, Instructor & Staff. I downloaded the plugin. I installed EE People Add on does that matter? I am really confused.

You would need to create a WP User (or you can update a current user if you already have one).

The ‘people’ types you are referring to are from the People add-on, that doesn’t assign an user to an event, it simply allows you to assign people to an event so their details show on the event and that ‘person’ appears on that event for visitors, its not a ‘staff manager’ type add-on.

Go to Dashboard -> Users -> Add New.

Add a new user with some test details just so you can see how this works (if you want to view the emails use a valid email).

Set their ‘role’ as an ‘Event Organizer’ and create the user.

Now edit one of your events (again you can create a new test event if you want to test this first) and in the event editor you can set the ‘Event Author’. Set that t the new user you just created.

Now log into the site as that test user and check they the wp-admin, they should only have access to the event they are set as the author for, is that what you are looking for?
