Changing names for attendees after booking when same name and email address used

Hello,

I have asked a question about this before here: https://eventespresso.com/topic/changing-name-and-ticket-price-for-attendee/

I continue to have this scenario, whereby people make a block booking and don’t know the names and email addresses of everyone who is attending at the time of booking, so use the same name and email address for multiple registrants in the same booking. They then supply the correct names and email addresses at a later date and then I need to have a way of editing the contact details. I don’t want to have to cancel the booking and make a new booking as this messes up the links to tickets and the invoice numbers for payments.

At the moment when I change the name/email address for one of the bookings which have been made using the same name it changes all of the names. There does not seem to be a way of creating a new contact, but I really need there to be a way!

So I assumed that my only option was to go into the database, create a new contact there in the wp_esp_attendee_meta table, and then copy the ATT_ID from this record to the wp_esp_registration table. I have tried this and unfortunately I now only see “No attached contact record” for the registration.

So, please could you let me know what additional step(s) I need to take to get this working.

Hi Nick,

Please do not make any changes via the database. Registration information is stored across different database tables. Making an error on a change can cause information to not be linked correctly.

If a current registration is having issues due to a change, then I recommend creating a new one manually rather than making additional changes through the database.

Hi Lorenzo,

As I said, I don’t want to create new registrations each time this happens – it causes further chaos for me. I need to be able to change contact information for existing bookings and frankly I am amazed that this isn’t possible. It is for this reason that I am trying to alter the database. I don’t know what else to do.

I cannot recommend editing the database directly.

Hi Lorenzo.

If it was possible to change the name and email address of the contact without going into the database I surely would, but I don’t think this is possible, and I have read the post that you linked to.

I am not seeing any ‘Create Contact’ button, and when I try to edit the contact, it changes the name and the email address of all registrations that have the original name and email address.

In other words, one contact has been created for multiple bookings, as the user used the same name and email address for more than one of the registrations, and when I try to change the details for that contact it simply updates all of the registrations for this contact. So I am stuck in a loop.

Hi Nick,

In that case, you won’t be able to change the name as they are the primary contact on the registration. You would need to cancel that particular registration and then create a new one manually with a different name and email address.

Thanks for the clarification Lorenzo. I am still a little unclear though. In my scenario the primary registrant used her email but a different name for the additional bookings, i.e. she used the following:

Name: TBC TBC
Email: Her email address

I changed the first additional booking to the correct name and email address and it changed all the others that used ‘TBC TBC’ and her email address. Now when I change any of these it changes all.

In other words the additional bookings didn’t have the same name AND email address as the primary registrant, only the same email address.

Is there still no workaround for this other than cancelling the registration and starting again?

Hi Nick,

The email address is the unique identifier.

When a registration occurs, the primary registrant or the first person registering will receive the registration information. If there are multiple registrants (e.g. primary registrant + two guests), then those would be linked to the primary registrant.

It sounds like a primary registrant made several registrations through different transactions on behalf of a group. You should be able to adjust the contact name or create a contact for the additional registrants. It depends on how they were registered:

However, you wouldn’t be able to change the primary contact information if the same email was used across different registrations.
