Can we send an invoice by email?

Hi folks,

I’m just wondering if the following scenario is possible? We have our events set to default registration status (approved) in order to allocate tickets and places. As I understand it, if we set this to ‘Pending Payment’ it will be possible to overbook an event due to the fact that tickets will not be allocated to a booking until payment has been received.

Most of our events are booked by companies where they will book several people on at a time and give the information for the financial contact who will be sent an invoice. As far as I can see, a confirmation email is sent to the attendee and any additional attendees, but if invoice is selected as a payment method, the invoice is only available to the registrant via a link where it appears in HTML rather than PDF.

Ideally, we would like to be able to send an invoice directly to the specified finance contact, or failing that to the primary registrant with instructions to forward this to their finance department. It would be easiest if this invoice was in the form of an attached PDF. Is this possible or beyond the scope of the current version of EE4?

Hi Geoff,

Would including a link in the registration pending notification help?

You could add some messaging to that message type under or below the make a payment area and then use this shortcode for the href link:

[INVOICE_URL]

Hi Lorenzo,

It would help, and I have that in one of the messages sent out after the registration process. However, I’m still a bit fuzzy as to why the only registrations that affect the overall capacity of the venue should be only those set to approved or paid. Surely asking to pay by invoice should still be able to allocate the tickets, even if it’s just on-hold otherwise it will be possible to oversell the event several times over given that most of our attendees register for an event and then get their finance department to pay the invoice rather than pay by Credit Card.

Does that make sense?

Hi Geoff,

We’ve discussed that and the reason why is that a significant number of those offline payments could be never processed. For example, those registrants could change their mind and then a good portion of your events would be filled up with no-shows.

If you set the default registration status for a registration to approved, then you’ll also run into a similar issue where you have a large amount of “approved” registrants but its not actually an accurate number of registrants who have paid.

You could try setting those registrations to approved through the registration details screen to “reserve” their spot but it won’t solve the original issue mentioned above (e.g. they may never actually pay).
