Can I register Participants using EE4 Mobile Apps?

If Participants want to register for an event on the day can I use the EE4 Mobile App or is that only used for Checking in Participants? How do we accept CASH on the day from Participants when we register them in?

Hi there,

If Participants want to register for an event on the day can I use the EE4 Mobile App or is that only used for Checking in Participants?

The app is used to check registrants in/out and/or lookup their details from an existing registration, we don’t currently have the option to add a registrant from the app itself. However, you can add the registration to the site on the mobile device by navigating to the front end of the site and adding them there.

How do we accept CASH on the day from Participants when we register them in?

You can check the registrant in regardless of payment status (the app will warn you if the registration status is not ‘Approved’ but you can choose to force check-in the user from there). However to make a note of the cash payment you’ll need to apply a payment within the EE transaction itself, you can’t do that from the app and would need to log into the admin (you could use a mobile device to do so, but its not something I would recommend doing at the door).

If a participant turns up on the day to Register for the event (which always happens) then we simply use a laptop to go to our site and fill in their info. When it comes to the payment part of the registration how do they pay CASH? I am sure when I trialled EE4 using fictitious info I was able to complete the registration by clicking on CASH as the payment method? Are you saying that everyone needs to have a Credit Card or Paypal Account to register. We do not want to use Stripe or any of the other Payment methods.

Sorry, your title and question referenced the mobile app, so my answer is specific for the app itself.

If you are using a laptop at the event you can easily add both registrants and reference cash payments within the transaction.

Is this the admin adding the registration to the site?

If so are you using the frontend or adding the registration within the admin?

Sure they can, but that’s different from the above.

We have multiple ‘offline’ payment methods for EE, we don’t have a ‘CASH’ option, but any of the offline payment methods can be relabeled as such

One of the volunteers with my Admin access would be using a tablet/ipad/laptop to Register in new Participants who arrive on the day and only have CASH. Some people do not have Credit Cards.They would be registering that participant using one of the devices mentioned as though it was that person sitting at home doing it. My Question is. When the volunteer gets to the part where it asks for Credit Card or Paypal what steps do they take to finalize the registration and take their CASH off them.

You can’t do that from the front end, you need to do it in the admin itself.

You only have the PayPal payment method active on the site, so you can’t ‘finalize’ a registration on the front end without payment.

The volunteer would need to log into the admin, find the event in Event Espresso -> Events and hover over the name, then click on the ‘Registrations’ link that appears – http://take.ms/IquOE

At the top of the registration list is a button to add a registration – http://take.ms/1z1Dl

Click that and you’ll see a ticket selector for the event in the admin, add the registration in the same way you would on the front end. When you submit the details you’ll end up here – http://take.ms/aeEuU

Click the apply payment button and a modal will show up where you can add details about the payment, the ‘method of payment’ will have a ‘Cash delivered physically’ option, make sure that is set and apply the cash payment they made. That will create reference to the payment within EE.

Thank You very much. Now that was easy to follow. My only other question is regarding Bib Numbers. At this stage it looks like I will just use the Transaction ID Number as their Bib Number. I was the first one to Register but the Transaction started at 13 and NOT 1 but that’s fine. Would that have been because I was Testing the Registrations prior to going Live? Is there some way of renumbering them in the Order that people Registered Starting at ONE upwards.

Yes those first 12 transactions would have been the tests before going live.

The transaction IDs cannot be reordered. One thing you could do is move those test registrations out of the trash if that’s where they are now, and repurpose those as real registrations whenever you need to make a manual registration.

I just looked and there is nothing in Trash. The only ones that were in there were Abandoned Cart Registrations that were all after I registered. I was the first one to Register to Test that it worked and I ended up being Number 13.The number I am using and talking about for Bib Numbers is the Reg Code: 13-4-1-9312. I needed to use some sort of number as a bib numbering system and thats all I could see on their tickets. Is there any other number that I am not seeing but will be able to see on Check in to allocate them a Bib Number?

If there’s nothing in trash, then those first few registrations were likely permanently deleted.

In any case, I don’t think you can use the first digits of the Reg Code for a bib number because that’s actually the Transaction ID, and the Transaction ID is shared by more than one registration when they do multiple registrations within one transaction.

One thing that could work for bib numbers would be to import the registrations CSV report into a spreadsheet app. Most spreadsheet apps will add a row number, which could be used for the bib number.
