Annual Membership

I am the Treasurer for the Tulsa Fencing Club. We are wanting to accept online registration and payment of annual memberships and tournament entry fees.

It appears that your plugin can handle the registration/calendar/payment for 1-day events like tournaments.

What about annual memberships?

We charge $50/year for a membership from August 1 to July 31. We charge $25 for a half year membership (January 1 to July 31). We meet on Tuesday nights.

We usually have classes from 7:00pm to 8:00pm and then Open Fencing from 8:00pm to 10:00 pm. (The cost of the classes is included in the annual membership.)

At the end of a class we usually have a tournament and the entry fee is $10 per event. This also means that we are unable to have Open Fencing. Given our demographics of kids, we occasionally cancel class due to Fall Break, Christmas Break, Spring Break and crazy Oklahoma weather. These nuances make it tricky to setup recurring events.

So, how can I get schedule and get paid for annual memberships?

Hi Reece,

I usually recommend using a plugin like S2 members for selling and managing memberships. Event Espresso doesn’t have any membership management features.

Once you have a membership system that extends the WordPress user system, you can use our WP user integration add-on to offer member pricing, free events for members, or members only events.

Our business model basically has 2 rules – to fence and to have fun.

Accordingly, the annual dues and entry fees are set at a level that allows us to cover our rent ($20/week), club insurance ($350/year), buy club equipment (i.e. electronic scoreboards, reels, mask punch, etc.), and help pay expenses for club members that attend national tournaments. We do not have any payroll since all of our coaches are volunteers.

I just want to allow people to:

  1. Register for club tournaments online and pay their entry fees (mostly club members, a few guests).
  2. Register for the “Intro to Fencing” class (4 consecutive Tuesday nights held twice a year) and pay their entry fee online (all guests)
  3. Pay for a full year’s membership ($50) if they join the club between August 1st and December 31st.
  4. Pay for one-half year membership ($25) if they join the club between January 1st and July 31st.

Everybody in the world is welcome to view any of the content of our website. Very few people (i.e. club officers) need access to WordPress to write pages or posts.

As I understand it, Event Espresso can do #1 and #2.

What about #3 and #4? Would you still recommend S2?

Hi Reece,

3 and 4 would be best left to a membership plugin. I do not have much experience with working with S2, but that seems to be the one a lot of our customers are using.

Event #1: Membership – Full Year.
Registration Start: 2012-07-01
Registration End: 2012-12-31
Event Start Date: 2012-07-31
Event End Date: 2012-07-31
Price $: 50.00

This is #4
Event #2: Membership – Part Year
Registration Start: 2013-01-01
Registration End: 2013-07-31
Event Start Date: 2012-07-31
Event End Date: 2012-07-31
Price $: 25.00
