An attendee's name has been registered twice, how to substitute

An agency has registered some of the same attendees twice. On two separate dates they submitted two groups of registrants 4 of which are duplicates. I tried to go into the second registration and substitute 4 additional registrants. When I did this it changed the names of those 4 people in both registrations. Is there a simple way to substitute the 4 names in the second registration? Thanks in advance for your help.

Hi,

You go to Event Espresso > Registrations, then go in to edit one of the additional registrations, and inside the “Contact Details” box, there will be a “Create Contact” button. You’ll click that button and it will take you to a new page for a new contact record, where you’ll edit the information there.

I do not need a screenshot. Which page were you looking at, was it the 1 of 2 attendee record, or the 2 of 2?

It doesn’t seem to matter if it is the 1 of 2 or the 2 of 2. My only choice is to “Update Contact Record.”

The create contact button loads if the current attendee matches the primary registrant’s attendee ID (meaning both registrations are linked to the primary registrant contact).

If you edit both registrations and click on the ‘View/Edit contact’ button then look in the address bar and you’ll see &post=XX is the value for that the same for both?

Tony, they both have the same address listed in the “Address Details”.
I don’t see the code &post=xx

The &post=16089 and &post=9831
So no they are not the same.

So that means those 2 registrations are assigned to different contacts.

If you edit the one that has 2 of 2, that should only affect that single registration.

The one that has 1 of 2 will be the primary registrant, and that may affect other registrations.

Can I take a quick look at these registrations? If so you can send temp login details using this form:

We don’t have a method to change the primary registrant but if I can take a look at the group I’ll see if there is something you can do.

“If you edit the one that has 2 of 2, that should only affect that single registration.” When we attempt to edit the 2 of 2 registration it changes that individuals information in both the original registration for the event and the second registration for the event. For example if I want to replace Sally Smith in the second registration with Bob Jones when I edit the second registration with Bob Jones then Sally Smith’s original registration changes to Bob Jones too.

Ok, so that changes things.

I think a quick explanation of how registrations work in EE may help here.

When you create a registration and provide EE with the First Name, Last Name (which is actually optional) and email address of a registrant it first checks if there is an EE_Contact (note this is different from EE_Users) with those details already in the system. If it finds an EE_Contact, it links the new registration with that contact, if there isn’t one already it creates a new one and links the registration with that.

So when ‘it changes all of the registrations details’ it’s changing the details of the contact linked to those registrations.

As your second group registration linked the second attendee to an existing contact it doesn’t show you the create contact button as it already has one and changing that contact will show the new details on any registration linked to it.

(Registrations don’t store the ‘contact’ details, they basically just link to the contact ID and EE pulls in that contact).

So right now your ‘dupe’ registrations have their own contacts and those contacts appear to have more than a single registration assigned to them (meaning you cant change the details on them).

The way we would recommend you handle this normally is to cancel the original 6 registrations and re-create the group using the new/correct details for each registration. That way all of the registrations will create/assign the correct contacts to each individual registration.

You can add the registrations through the admin in Event Espresso -> Events -> {hover over event} -> registrations -> Add new registration.
