Adding Event Information to Batch Template — Shortcodes not available

When I go to Management -> Messages -> Custom Message Templates, then edit one of the templates, there don’t appear to be shortcodes for basic information like the date/time of the event. How do I get these added?

I’d like to add that the message type I’m trying to edit is “Batch” because we want to send an event reminder to our guests a day before the event.

This “event reminder” is a very common feature of event plugins, and currently this feature has been in “beta” for almost 2 years which is very frustrating. As a workaround, EE has recommended that we send a Batch email to registrants. It now appears that even with this workaround, there is no way to add event details to the Batch message… Is there something I’m missing here?

Hi there,

No, you’re not missing anything, with the way in which batch emails are generated they cannot use Event based shortcodes.

You would need to hardcode the values into the batch email template and then select that template for that event when sending when using the batch template.

There is a different workaround for event reminders using a Registration Approved message template if your event registrations are closed?

In short, create a custom ‘Registration Approved’ template with whatever details you need, set that template on the event, in the registration list filter the registrations for the event and that are already Approved. Select the registration and in the bulk options select ‘Approve and Notify Registration’ and apply.

That will set the registrations you selected to an Approved status and retrigger the Registration Approved message, which is now using your custom template. The reason I say that works if your registrations have now closed is that if a user registers onto the event whilst you have that custom template selected, that’s the message they will receive, so it depends on how much of a problem that is for you.

Would that work better?

Thank you for your thorough response! I tested out the workaround and I think that will be sufficient for our purposes. My only problem now, is that only 10 registrants are listed on a page, and it looks like I’d have to go page-by-page sending the Registration Approved message again. Is there another way by chance?

Go to screen options at the top of the page, you can set the run of registration per page there.

Note that depending on your server, high numbers may cause the page to time out, I’d use something like 50 and see how that goes.

You’ll still need to select the single page, then trigger, then the next etc, but at least the pages will have a larger number of registrations.
