Adding a Custom Field to Registration List?

Our users need to be able to easily pull up a list of customers for a particular event and then assign a table number for each guest. These assignments may need to be updated several times in the hours before showtime. This info is for internal use only and wouldn’t need to be visible to the customer.

Is there an easy way to do this? One idea that came to mind is adding an editable custom field to the registration list. Is that possible? Other suggestions?

Hi Daniel,

The admin-only question could be used for that information. It would not appear on the front-end registration form and could be edited by viewing the attendee/registrant record.

Another place would be to add notes to the contact record that is created but the admin-only question would be more applicable for notes for a specific registration.

Thanks, Lorenzo. A couple of related questions:

1) Can the admin-only question be added to the fields displayed in the registration list view?

2) If so, would the field be editable in list view or would the user have to click-through the registration detail to make changes?

Ideally, the user would like to assign table/seat numbers in the list view as this would not only be faster, but it would also allow them to see everything in context.

Hi Daniel,

Both of those options would require custom development as we currently do now allow for custom questions within the registration list view and none of the fields that currently are available there allow you to edit them.

Currently you would need to edit the question from within the registration by clicking through into each one individually.

I was going to ask another question in a separate post, but it relates to this.

Our user has a lot of recurring events. When we pull up the registration list for a recurring show, it lists *all* of the registrants for *all* of the occurences of the show. We can’t seem to find a way to pull a list for a specific night’s show. Am I missing something?

Related to that, if there’s not a way to do that in Event Espresso, and given the aforementioned need to assign tables/seats to the folks coming to a particular show, would it be better to have a developer add the admin-only question to the existing registration list, or should we consider using the JSON API to create a dashboard-type view that extracts registrants for a particular night’s show and then let the box-office staff assign tables/seats to that list?

Hi Dan,

It turns out you can view an attendee check in list for one datetime, of many datetimes, within an event. You go to the Registrations overview, click Event Check-in, then select an event and click filter. If the event has more than one datetime, it will show a select option with dates where you select the datetime where you want to view/check in attendees. Then you select the datetime and click filter.

That’s a big step in the right direction. Thanks, Josh.

It doesn’t seem to be working entirely as expected, however. Here’s what I’m seeing:

Go to Registration Overview and click Event Check-in. I select an event with multiple occurrences and click Filter. I get a list that (I believe) defaults to the next upcoming show. All good.

But if I chose another show date from the pop-up and click Filter, I get an empty list. Even if I go back and select the original show date, I still get an empty list (even though it showed me registrations a few seconds ago).

Any idea what is causing this behavior? By any chance does Event Check-In only work for the “current” occurrence of a show?

No it will list attendees for non-current occurrences of a show.

My idea is that the tickets are not set up to grant access to the different datetimes. Can you go in to edit the event and verify that each datetime has at least one ticket assigned to it? So for example if you have datetime 1 and datetime 2, there should be at least one ticket assigned to datetime1, and at least 1 ticket assigned to datetime 2. Then you check to see if any of the tickets for datetime 2 have sold. It’s okay if one ticket is good for many datetimes, if you want one registration to show up in both lists.

OK, something’s not right here. I’m a little unclear on the ticket assignments, but the tickets do appear to be assigned correctly. I can dig into that more when our box office staff is available, but I did just see this:

Despite what I said previously, the list I originally got for the show in the Event Check-In tab is actually a list of all sales for all upcoming occurences. If I chose a particular occurence from the dates pop-up and Filter, I get an empty list (“No items found.”). However, in the field above the Bulk Actions pop-up it says “All (19)” and by the list navigation buttons it says “19 items.” 19 is the same number shown for tickets sold for that occurence in the Event Date Times list on the Edit Event page. So EE knows there are 19 tickets sold for that show, it’s just not including them in the check-in list. If I select other dates from the pop-up, I get the same result: No list, but it shows the correct number of tickets sold.

Are you testing an older version of Event Espresso? It might help to know which version you have installed on your site.

Good point! We’re at 4.6.23.p, which is a few months behind. Have there been changes/fixes recently that would relate to this?

If so, would you say that our next step would be to look at getting a developer to add the admin-only question to that list view so our staff can assign tables/seats? Is that a significant change to make?

Also, am I right in assuming that our staff could keep the list for a night’s show open in a tab or window, and simply refresh it throughout the evening to get an updated list as additional ticket sales come in?

Yes the check-in page can be refreshed to update it.

We’ve updated Event Espresso to the current version. The good news is that we’re now seeing only the registrations for the selected occurrence of the show in Check In list. Unfortunately, when we export a CSV file, we’re still getting registrations for *all* occurrences of the show. Is that what’s supposed to happen? Is there any way to limit the export to just the selected registrations? Many thanks.

Hi, the registrations report will get registrations for that event. You can not currently generate a report for a few records.

Thanks for the fast response, Lorenzo! Just so I’m clear, the exported list will always contain all registrations for all instances of the event, even if an individual instance of the event is currently displayed in the Check In list?

If so, could a developer modify EE to export just the current list and how difficult a project would that be?

Hi Daniel,

You won’t be able to select Attendee 1, Attendee 2, Attendee 3 and generate a report for only those records.

We’ve been making some improvements to the CSV report system so you can export only certain columns:

However, we have not added an option to export select records. The next enhancement for the report system is batched registration report generation so members that have thousands of attendees per event can create a report on shared hosting platforms.

Sorry if I’m not being clear. I’m not looking to export specific records from within a list. What I want to do is pull up a list of registrants for a specific instance of a show and then export just those registrants. Put another way, if we’ve got a repeating show, I want to export a list of just those folks who are coming to tonight’s show. Does that make more sense? Is that currently possible?

Hi Daniel,

If those are separate events, then you can filter by that event to get those records.

If they are the same event with multiple date times (occurrences), then all records for that event would be included in the report.

I spoke to a developer about this and this would require changes to the core so its not available in the current version but may be added as an enhancement in the future.
