abstract submissions

I am new to this plugin and am wondering what is the best way to go about having registrants submit abstracts for a conference? Those abstracts will have to be reviewed at some point in the process, and I need to be able to send automated e-mail responses to accept/reject the submissions. Any help would be appreciated!

Hello Elizabeth,

This is an interesting situation.

I think that if the abstracts are purely text based with no formatting requirements you could use a Question (text area) for it. If they are more complex and/or file based (e.g. Word) then we do not have functionality built in to do a file upload.

You could use an additional plugin such as this (note that this is purely an example, I have never used this plugin) to allow users to upload files from their profiles when logged in.

Otherwise it would need to be custom coded.

However, there is currently no way to send an individual attendee an email automatically via Event Espresso, there is only a mass email shot to all attendees of an event or singular resend of the registration details.

So if I simply wanted users to be able to copy/paste text from their word document, we could have them paste into a text area? Would there be a way at the end of the entire process to collect all that text – IE – export the abstracts so that I can use them to create a program somehow? I’m surprised there’s no functionality for submissions here – it’s a critical part of any conference type event, and was hoping to be able to set up a seamless system for registrants to submit their work.

Hi Elizabeth,

It wasn’t something that was needed when the plugin first started and there has been no demand from our community for it, so we have focused our resources elsewhere. However I agree in that it could be a very useful feature and I will add it to our feature request list.

Regarding the text field, yes that should work fine, and the information is stored in the attendee page so you could either individually review each attendee via the Attendee Reports page, or export a spreadsheet file which will have that info in it as well.

Thank you for the info. My next question is – is there a way to have users upload (or copy/paste) their abstract information BEFORE formally registering/paying for the conference? Abstract submission dates should occur (be open) long before registration is available (and should close before registration even begins).

You might try something like Gravity Forms to handle these types of submissions.
