Manually adding/updating seating chart attendees, pending payments

We are using Event Espresso 3.1.36.6.P WordPress version WP 4.0.1 with the seating chart. We are testing before we go live and are having a few issues.

1) Is there a way to add manually add a ticket(s) to process via credit card at a later date? For example, we will have customers ask us to reserve their seat, but we won’t charge their credit card until later. If I process and change the payment to pending, I lose the connections to the seat.

2) I have had instances where a manually entered seat does not appear as a pending registration but the seat appears to be locked up. Is there a way to locate these pending or incomplete registrations?

You might want to take a look in the db using phpmyadmin at the wp_events_seating_chart_event_seat table. I’ve been testing manually adding attendees via the admin and watching the entries in that table, and I cannot get it to fail as you described. The “Occupied” field sets to 1 when adding through the admin, so the seat reservation does not expire after 60 minutes. And payment status seems to have no affect on it. You can also use it to look up the attendee that is assigned to a particular seat for a particular event.

Hi there,

It shouldn’t break any connections to the seat. Are you also updating the registration form or only the payment method? Even if the seat number isn’t listed under “Option” the connection is maintained between the registration and the seat selection. If you do a CSV export from the event overview, you’ll see all the registrations, with the seat chart selection under the “Seat tag” column.

Thanks. I have been doing a lot of testing before we go live and perhaps I did something odd. I will continue to monitor and resubmit with an example if I run into another problem.

Can you respond to question 1? Do you have a suggestion for how to enter a transaction that I wish to process the credit card at a later date? I only want the credit card to be an option when someone purchases from the website.

Also question 2. Is there a way to locate any seats that are pending for the hour that they are reserved and complete or delete the transaction?

Hi,

1) Add them in the admin, then change their status to pending. As discussed above this should not break the connection to the seat.

2) Unfortunately not. The best you could do is see which payments are still pending but it wont provide details on when their hour is up. That’s a good feature though, so I’ll add it to our feature request list.

I just had the situation where I wanted to update an incorrectly spelled name. After I updated, the option column said free. When I exported, the seat did not appear on the list. When I deleted and reentered – now the ticket shows up with a zero cost. Is there some setting or something I’m doing wrong?

I am glad to provide any documentation or give access.

Hi there,

It’s a known issue with the seating chart plugin where the Edit Attendee Data will reset the price option column. This is something that can be fixed in a future release of the seating chart plugin.

However, the seat selection is still attached to the attendee record even after the price option is reset. Along with that, the export has another column, Seat Tag, that displays the seat selection for the attendee record. The Seat Tag column will have what you’re looking for.
